Hours: 10-20 hours per week from January - February; 30-40+ hours per week from March through June, 2024
Girls on the Run Vermont is currently seeking a temporary 5K Coordinator through June 2024 to fill a medical leave vacancy.
Girls on the Run Vermont (GOTRVT) is a non-profit (501c3), community-based organization. GOTRVT’s mission is to inspire girls to be joyful, healthy and confident; using a fun, experience-based curriculum that creatively integrates running. Our statewide volunteer coaches mentor approximately 1,800-2,000 young girls (grades 3 through 8) in a 10 week after-school program each spring that combines training for a 5K run/walk event with self-esteem enhancing, uplifting lessons. GOTRVT sessions integrate specific life-skills training such as healthy decision-making, positive self-talk, contributing to the community, leadership, teamwork and recognizing inherent limitless potential to make a difference in our world, starting with a positive image of self.
General Position Summary:
Girls on the Run Vermont is seeking a temporary 5K Coordinator (5KC) to join our team. This position reports to and works closely with the Executive Director and will make key contributions to the council’s strategic growth as it relates to the success of our celebratory 5K events in June 2024.
The 5K Coordinator (5KC) will be the lead in the planning and execution of GOTR’s spring 2024 5K events. The 5KC position will involve collaboration across all departments of the organization to ensure 5K objectives are met including those related to event logistics, programming, development, sponsorships and administrative tasks. The 5KC will be expected to work independently on the majority of pre-event preparation and will work collaboratively with all organization staff in order to execute successful, safe events.
Must be dynamic, spirited, and passionate with experience in event planning and logistics. A passion for youth development and wellness is a plus. A strong self-starter with excellent communication skills to work with internal team members, volunteers, vendors, and other stakeholders as necessary throughout the 5K planning and execution process.
This position will be temporary and involve working alongside the current 5K & Event Director from January through March when at which time the 5KC will take over full time through June to cover a medical leave of absence.
Key Areas of Responsibility:
Planning and Collaboration

Plan, manage and oversee all aspects of the GOTRVT 5K spring events

Serve as lead for staff, vendors and volunteers in the coordination and implementation of two statewide 5Ks including: operations, logistics, security/safety, registration, route logistics, wave starts, Emcee, guest speakers, sound communications, venue and course maps, event volunteer recruitment and 5K committee management, plus other aspects as needed

Inventory and order 5K event supplies through in-house and vendor contracts (t-shirts, medals, bibs, banners vendors, barricades, stakes, water delivery, etc.)

Collaborate with community partners, in-kind sponsors, and vendors, with support from Development Director

Activate 5K sponsor benefits in both digital and physical materials with support from Development Director

Serve as staff lead on official GOTRVT merchandise available for purchase at 5K events

Organize and maintain calendar of tasks to be completed ahead of 5Ks with support from Program department, ED and Development Director

Meet regularly with 5K committee members to share progress and create day-of event plan

Maintain a comprehensive 5K budget with support from ED

Manage general email account for event related inquiries and in particular, volunteer-related communications

Manage 5K and volunteer registration database

Maintain inventory and collate items needed for GOTR 5K events

Assist with 5K volunteer coordination, outreach, and day-of management

Maintain comprehensive and detailed day-of event guides to be distributed internally to all involved ahead of the 5K
Communication

Work with GOTRVT staff to ensure effective 5K-related communication occurs with coaches, liaisons, families/guardians and stakeholders

Organize and manage all 5K-related social media and outreach efforts through GOTRVT social media channels and email in collaboration with Program staff

Circulate post-5K event satisfaction surveys for participants and volunteers

Update website with 5K event details (including uploading detailed Event Guides prior to event)

Work with Program staff during planning to meet 5K needs for operational and programmatic success at events

Ensure that staff and volunteers are adequately prepared for 5K events

Implement a thorough 5K safety and communications plan with 5K Committee and local safety personnel in Essex & Manchester

Collaborate with staff and provide overall support as needed
5K Administration

Manage expansive 5K database of regional volunteers connecting them to specific roles at events

Manage database of 5K Community runners & Running Buddies and ensure compliance and payment

Assist with post-event gratitude efforts

Other tasks as outlined by Executive Director
Qualifications:

Spirited individual with passion for the Girls on the Run mission

Strong organizational skills a must; Mastery of schedule and timeline management required

Excellent verbal and written communications skills

Process-oriented, yet flexible and capable of creating new processes as needed

Ability to effectively collaborate with others and work independently

Proficient with Microsoft Office and database management, overall comfort with technology

Reliable and consistent transportation for office and statewide travel as needed
Work Experience
-
Associate or Bachelor’s Degree
-
3+ years event planning experience
-
Strong verbal and written communication skills
-
Ability to efficiently navigate and utilize non-profit organizational software (Pinwheel)
-
Experience with youth development, physical activity programs, and/or diverse populations is preferred
-
Strong organizational and interpersonal communications skills
-
Ability to work independently and navigate obstacles as they arise
-
Ability to stand for long periods and lift 30lbs helpful but not required
Working Conditions:
· In-person office setting during regular business hours with some remote work flexibility
· Active work environment i.e. lifting and carrying 35+ pound boxes and bins, packing & organizing equipment
· Evening & weekend work expected for 5K events and committee meetings
· Mileage reimbursement
